Job Summary and Qualifications

JOB SUMMARY: Assists with all personnel records including organization; filing; tracking; and storage according to agency policies Assists the HR Director and the Director of Case management in administrative tasks. Confidentiality, attention to detail and computer skills are essential to this position.

Essential Functions

1.       Assists with new hire orientation for certified nurse aides and clinical staff, which may include scheduling of orientation, ensuring that all pre-hire certification requirements are met, and scheduling of a skills competency for certified nurse aides.

2.       Ensure that all pre-hire education requirements are met.  Pre-hire tests are graded, scanned and filed electronically.  Ensure that employees who did not pass a test receive the necessary education so that the test can be re-taken and passed.

3.       Assists with processing paperwork for new employees; enter their personal information and certification dates into the computer system, and create employee files.

4.       Manage the on-line education sites for the CNA’s, nurses and therapists, including adding and deleting employees, distributing modules, producing reports for managers and monitoring employees’ progress on the site.

5.       Collection and electronic filing in appropriate employee files all required documentation; i.e. Application,  references, verification of discipline license (DORA), current CPR, current TB requirements, car license and  insurance, background check, drug testing and other requirements.

6.       Enter employee 90 day and/or annual evaluations into the HRIS. Send out emails and make phone calls to ensure that employee files are kept up to date.

7.       Serve as a liaison to the office for field personnel; answer questions and direct people to the appropriate individuals for help with various issues.

8.       Tracking of HIPAA and Corporate Compliance training.

9.       Conduct HR file audits and maintain I-9 forms.

10.   Maintain a current list of potential certified nurse aides and respite workers available for hire.

11.   Assists Case Management Department with administrative compliance, tracking and billing duties.

12.   Assists with processing paperwork for new case management clients; enter client information into the computer system, and create electronic files.

13.   Addition Case Management/ HR assignments as requested.

Qualifications

Minimum Education:

Associates degree or Certificate in Human Resources.

Minimum Experience: 1 year experience as a professional HR Assistant.  Medical, Nonprofit or Home Health agency experience preferred.
